Lunchtime and After School Club Terms and Conditions

These Terms & Conditions set out the terms and conditions agreed between you (‘’You, ‘’Your’’) and LoveLearnItalian(‘’we’’, ‘’our’’, ‘’us’’) in relation to the registration and attendance of the child (“Child” or ‘’participant’’) whom you have registered for a Course (referred to a one-off course of multiple sessions offering teaching of Italian language) with the LoveLearnItalian School Club (After School and Lunchtime Clubs).

All participant information must be completed in full and must be correct at the time of registration. It is your responsibility to ensure that We have a contact number for you (or the participants parent or guardian if this is not you) in case of emergency at any time during the After School and Lunchtime Club.

If You are not the participants parent or guardian, You confirm that You have made such parent or guardian fully aware of this registration and these terms and conditions (and that they have agreed to them in full).

Booking and payment
1. A Place in the Course is allocated on a 'first come, first served' basis. Booking Requests must be accompanied by the appropriate payment within seven (7) calendar days from receiving the Booking Application Response email.
2. The Booking Application Response emailwill inform if a provisional place has been secured on the selected Course for the Child, in which case payment details for the Course will be provided within the same email. Payment must then be secured within said 7 days; beyond this term LovelearnIalian will release the Child’s provisional place and make it available to others.
3. Once payment is received in full within the said 7 days, a payment confirmation email will be sent by LovelearnIalian to the email address indicated by the Parent / Guardian in the booking request form.
4. If the Course is already fully booked and unable to accept any further participants the Child may, at the Parent / Guardian's discretion, be placed on a waiting list.
5. Starting from the date of payment, you have a fourteen (14) calendar days ("Cancellation Period") to change your mind and cancel the Child’s place on the LovelearnIalian Course(s), subject to the following clause: if the child has already participated to any session or is bound to participate to session within 24 hours, the fee will be partly refunded by subtracting proportionally the number of delivered sessions and sessions due to be delivered within 24 hoursfrom the total amount.
6. After the expiry of the Cancellation Period, the fee is non-refundable and will be retained by LovelearnIalian.
Session calendar, change / cancellation / child absence
1. A Session refers to the individual sessions within a Course. The number of Sessions included within the Course, their frequency and their duration will be detailed at the time of making a Booking Request.
2. In the event of circumstances beyond our control, we reserve the right to make changes (cancel / postpone) a particular session or a group of sessions.In this event, we will notify parents/guardians of children booked onto the After School and Lunchtime Club as soon as possible. We will always try to offer a suitable alternative if one is available or otherwise offer a full refund of that session or a credit towards LoveLearnItalian clubs.
3. In the event that a Child, due to holydays, sickness or any other reason, is unable to attend a Session, LoveLearnItalianregrets to inform that it is unable to refund any payment.
After School Club collection
1. The finishing time for after-school clubs is specified in the Course calendar shown at the time of booking.
2. All children must be collected by the scheduled finishing time of a booked After School Club, unless the Parent / Guardian authorizes the Child to walk home; such authorization is available only for Y5 and Y6 children and must be provided by the Parent / Guardian in writing by sending an email to LoveLearnItalian.
3. If for any reason you are detained and unable to collect your child by the scheduled finishing time, we ask that you call LoveLearnItalian as soon as possible (07306 139498).
4. If we have no contact from a parent/guardian half an hour after the scheduled finishing time, we will contact local Social Services to advise them we have an uncollected child.
5. We reserve the right to refuse future bookings from parents / guardians who continually collect their child late.
6. Only the parent/guardian and other named collectors on the enrolment form can collect the named child.
7. If someone else is to collect the child, the parent/guardian should call and email LoveLearnItalian as soon as possible with the details of the temporary allocated collector i.e. full name and phone number.
Insurance
1. All children in our care are covered by our Public Liability Insurance.
Health policy
1. LoveLearnItalian requires that all children who are ill or infectious are to be kept at home.
First aid
1. In the event of an accident requiring emergency treatment or if a Child is unwell, the Parent / Guardian will be contacted at the Emergency Contact phone number provided at the time of booking. Such number must be always contactable whilst the Child is attending the Course. It is the Parent / Guardian’s responsibility to ensure that the Emergency Contact details are up to date. Any update to these details must be communicated to LoveLearnItalianvia email.
Photography and video
1. 11.1. We occasionally take photographs/videos of children for promotional materials. Please inform LoveLearnItalianby email if you do not want your child to be included in this.
Mobile phones, electronic devices and other personal property
1. All electronic devices (e.g. iPads, Nintendo DS, etc.) are prohibited at our After School and Lunchtime Club.
2. If you wish for your child to carry a mobile phone and they are seen using it inappropriately, the instructor will confiscate it until the end of that session.
3. LoveLearnItalian will not take any responsibility for the damage or loss of any electronic devices that are brought into the After School and Lunchtime Club.
4. Children will need to take care of their own belongings. LoveLearnItaliancan accept no liability for any loss or damage of children’s belongingsbrought into the After School and Lunchtime Club.
Liability
1. By accepting these Terms & Conditions you acknowledge that the maximum aggregate liability of LoveLearnItalianto a Child and/or Parent/Guardian shall not exceed the Course fee which a claim relates to. The liability of LoveLearnItalianand that of its instructors is restricted only to Session time and only to gross negligence.
Child exclusion
1. On rare occasions, if a child proves incompatible with the general well-being of After School and Lunchtime Clubs (e.g. they are involved in bullying or are engaged in disruptive or aggressive behaviour) we reserve the right to exclude them. Please only enrol children who will agree to our behaviour and respect policies to eliminate this possibility.
2. No refund will be made for any remaining After School and Lunchtime Club sessions booked.
Data protection
1. We will use your details to contact you via email, mail or text with important information about your booking and/or future information about our services.
2. We do not share any of your personal information with external agencies.
Age ranges of Clubs
1. Our clubs are designed for an age range, namely KS1 (Y1&2) and KS2 (Y3-6).
2. When booking onto a club you are accepting that the educational levels and needs of the children in one group can differ significantly and the outcomes will also vary.
LoveLearnItalian contact details
1. To contact LoveLearnItalian, the Parent / Guardian should refer to the contact details (email, phone number) provided in our website.
Government Guideline & Pandemics
1. If any of our sessions are cancelled due to Government guidelines, or pandemics, we will try and provide the remaining projects to the children for completion at home, this will be alongside instructions.
2. If any of our clubs are cancelled due to Government guidelines, or pandemics, before beginning, we will attempt to rearrange the club. Where this isn’t possible, we will offer either the projects and instruction or credit.
3. In either case 14.1 or 14.2, we cannot guarantee a refund on sessions or clubs cancelled this way.
Agreement between parties
1. These Terms & Conditions, together with any confirmation emails by LoveLearnItalian, constitute the entire agreement between the parties which supersedes and extinguishes all previous agreements, whether written or oral, relating to its subject matter.
